Receptionist


Llama Group Ltd is looking for a highly presentable Receptionist to join their office team.

Description

The Receptionist will be the first point of contact for all clients and visitors, as well as telephone callers to the business. They will ensure everyone is welcomed and treated in a polite and professional manner. This is a varied role that is best suited to someone who can multi-task under pressure.

The successful candidate will have previously worked as a Receptionist, with a good track record of delivering excellent professional customer service. With a warm and enthusiastic manner, they will have an ability to develop and build a good rapport with others. A working knowledge of Word is essential, Excel and knowledge of databases is desirable.

Objectives

  • Provide reception and switchboard cover and act as point of contact for clients, visitors and deliveries.
  • Serve clients and visitors by greeting, welcoming, making refreshments, and notifying company personnel of their arrival.
  • Manage the reception and showroom areas, maintaining cleanliness of these areas regularly.
  • Organise and maintain diaries and organise appointments for Directors and company personnel.
  • Undertake general administration duties and support for Directors.

Responsibilities

  • Ensure all general phone calls are answered and managed appropriately. Answer and screen all incoming calls. Take accurate detailed messages.
  • Cover reception daily and ensure client and external visitor satisfaction is high.
  • Maintain the cleanliness of the reception, studios and showroom areas throughout the day and liaise with external cleaners.
  • Open and distribute incoming post, goods/packages and arrange external post when required.
  • Order stationery, office/business supplies. Maintain office inventory and check stock levels including stationery and photocopier paper.
  • Organise lunch for meetings.
  • Maintain stock levels of refreshment supplies i.e. tea, coffee, milk etc.
  • Tidy away crockery and glasses, load and activate dishwasher on a daily basis.
  • Empty kitchen bins daily.
  • Organise confidential recycling daily.
  • Store away weekly groceries.
  • Undertake general administration duties and support for Directors.
